Sales & Demos Executive Assistant

Run outbound to wedding pros — fill the founder's calendar with qualified demos and keep the pipeline moving. Founder runs the live demos.

About the role

Brunchie is wedding-operations software — one link that replaces the 5–6 scattered tools couples and planners juggle today (Google Sheets, group chats, RSVP tools, seating software, registries, spreadsheets). We own RSVPs, seating, itineraries, guest coordination, expenses, and check-in. Core features are free forever. Premium unlocks wedding-scale coordination.

Brunchie is founded in Canada and fully remote. There is no office. We hire globally — the team works from wherever they live, in their own city and their own time zone. Canada is where the company is incorporated; it is not where you have to be.

Part-time, 20–25 hrs/week, fully remote, async-first. The role runs async with two scheduled sync calls per week (60 minutes each, fixed times that work for both sides) plus same-day written updates. No daily standups. No "always online" expectation.

You run the top of the wedding-ops sales funnel: outbound prospecting, email and LinkedIn sequences, lead research, calendar/demo scheduling, and follow-ups with planners, venues, coordinators, and photographers. The founder runs the live product demos. Your job is to fill the calendar with qualified, engaged buyers and keep the pipeline moving.

This is not a closing role and not a live-demo role — but it is a heavy problem-solving and creative role. You are the first responder to every question a prospect, trial user, or customer raises outside the live demo itself. You answer them in writing, build the FAQ as you go, and turn the friction you see into Loom walkthroughs and short guides that make the next person's question already answered. When a prospect hits a snag, you reach for a creative workaround using the existing product before you write it up as a feature ask — your job is to unblock people, not just to log tickets.

What you will own

  • Source 25–30 qualified wedding professional contacts per week (planners, venues, coordinators, photographers) using LinkedIn, Google, wedding directories, and industry lists
  • Run outbound through LinkedIn DMs, cold email, and Instagram messages using approved templates and your own variations
  • Manage email and LinkedIn follow-up sequences (typically 3–5 touches over 14 days)
  • Qualify replies, ask the right discovery questions in writing, and route warm prospects to the founder's calendar for a live demo
  • Track every contact and conversation in the pipeline tracker (Sheets or simple CRM)
  • Send post-demo follow-ups and trial activation nudges
  • Surface objections and patterns from the field weekly so the founder can adjust messaging and product
  • Field every prospect, trial, and customer question that lands outside the live demo (email, DM, post-demo follow-up) — answer them clearly in writing
  • Solve problems creatively with the tools that already exist before escalating — workarounds inside Brunchie, the right doc, a 2-minute Loom — and only file a product feedback ticket when the gap is real
  • Build and maintain the public FAQ as you answer questions, so the same one never gets answered twice
  • Record short Loom videos to walk a prospect or guest through a workflow, and share them back into the FAQ / guides where they help the next person
  • Spot guide-shaped gaps and draft new how-to guides (or flag them for content) so the next prospect lands on a working answer instead of an open question
  • File well-scoped product feedback tickets — repro steps, what you tried, why a workaround didn't suffice — only after creative options are exhausted

How the live demo handoff works

  • You qualify the prospect in writing and confirm fit
  • You book the demo on the founder's calendar (Calendly link)
  • You attend the demo silently or asynchronously (recording) for learning, not for speaking
  • You handle all post-demo follow-up

Pipeline themes you will pitch

  • Wedding ops in one link instead of 5–6 scattered tools
  • RSVPs, seating, itineraries, guest coordination, and check-in in one place
  • Free core product, no aggressive paywall, no hostage data
  • Replaces Google Sheets + Zola/The Knot + WhatsApp + Canva + Honeyfund + clipboard check-in
  • Built for planners and couples who actually run real events

Requirements

  • Strong written English (this is the heart of the role — your DMs and emails are the product)
  • Customer-facing or outbound experience (SDR, support, CS, events, partnerships, account coordination — no specific title required)
  • Comfortable researching prospects on LinkedIn and Google
  • Organized lead tracking — you can run 25–30 conversations per week without dropping threads
  • Comfortable with Google Sheets, Calendly, Gmail, LinkedIn, and any basic CRM (HubSpot Free or similar)
  • Comfortable working async and writing clear daily updates
  • Available for two scheduled 60-minute sync calls per week (we will agree fixed times that work in your time zone)
  • Wedding industry experience helpful, not required — you can learn the category in two weeks
  • Bias for creative problem-solving — when something doesn't work, your first move is "what can I do with the tools I already have" before "this should be a feature"
  • Comfortable recording short Loom (or similar) screen-share walkthroughs in clear written/spoken English
  • Light technical writing chops — you can turn a back-and-forth thread into a clean FAQ entry or a short how-to guide

Nice to have

  • Wedding vendor or events industry exposure
  • B2B SaaS outbound experience
  • HubSpot, Pipedrive, or other CRM experience
  • Experience with email enrichment tools (Hunter, Apollo, similar)
  • Experience supporting a founder-led startup
  • Any spoken English proficiency at conversational level (helpful for occasional voice notes, not required)

Success metrics

These are early-stage ramp benchmarks. Brunchie is a new company building from zero — these are not established-pipeline numbers.

  • 25–30 qualified contacts sourced per week
  • 10 outbound sequences active per week
  • 10%+ reply rate on outbound (reflects realistic first-6-weeks performance for a pre-audience brand)
  • 2–3 qualified demos booked on the founder's calendar per week
  • 5% demo-to-trial activation rate
  • Clean pipeline tracker, never out of date by more than 24 hours
  • Faster turnaround from reply to follow-up, week over week
  • Every recurring question shows up in the FAQ within the same week it was asked twice
  • 1+ new Loom walkthrough or how-to guide shipped per week from real prospect questions
  • Product feedback tickets are well-scoped and only filed after a creative workaround has been tried — quality over volume

What good looks like

  • You source clean, qualified lists every week without being asked
  • Your outreach copy gets replies because it sounds human, not templated
  • You never lose track of a thread — every prospect knows where they stand within 24 hours
  • You surface real objections weekly so we can sharpen messaging
  • You ramp from "needs guidance" to "running pipeline independently" inside the first 60 days
  • You're the kind of person who, faced with "the seating chart isn't doing X", first finds a workaround inside Brunchie, then writes the FAQ entry, then records the Loom — and only then writes the feature ask
  • The FAQ and guides get measurably thicker because of you, not just because of the founder
